Send event reminders that convert

Event Management5 min read

Good event communication answers the next question a guest is likely to have without adding noise to their inbox.

Send a useful confirmation

Include the event name, date, location or joining link, ticket details, and the guest's QR code. Make the next action obvious, such as adding the event to their calendar.

Plan a small reminder sequence

  1. Send a confirmation immediately after registration.
  2. Send a practical reminder three to seven days before the event.
  3. Send a short day-of message with arrival instructions.

Write for the real arrival experience

Share parking, public transport, accessibility, check-in opening time, and what guests should bring. If the schedule or venue changes, send the update as soon as it is confirmed.

Follow up after the event

Thank attendees, share relevant resources, and invite them to the next event. Keep the message focused on one action so it is easy to respond.
