A well-briefed team makes the guest experience feel effortless. Keep responsibilities visible and make it easy to escalate issues.

Define roles by guest-facing task

Separate responsibilities for check-in, walk-ins, badge printing, wayfinding, speaker support, room monitoring, and issue resolution. Avoid assigning a vague role such as "help wherever needed."

Create shift handoffs

For every shift, record who is arriving, who is leaving, what is still open, and where supplies are stored. Schedule overlap between shifts so context is passed on in person.

Give the door team a short briefing

Review the event schedule, ticket rules, QR check-in flow, walk-in process, accessibility requests, and the person who can approve exceptions.

Use a simple escalation path

Tell staff which issues they can solve themselves and which should go to the event lead. Keep the lead's phone number and the venue contact available offline in case connectivity drops.

Close the loop

After the event, collect notes from each role while details are fresh. Turn recurring issues into updates to the run of show or staff briefing.
