Build an event run of show

A run of show gives every person on your event team the same source of truth for timing, owners, and handoffs.

Start with the guest journey

List the moments guests will experience, from doors opening and check-in to the final session and departure. Add the intended start and end time for each moment.

Assign an owner to every moment

Give each item one accountable owner, even when several people help. Include contact details for vendors, speakers, and venue staff who need to be reached during the event.

Mark dependencies and buffers

Call out dependencies such as room resets, AV checks, catering deliveries, and speaker arrivals. Add a short buffer before high-risk transitions so a small delay does not affect the whole program.

Share the final version

Publish the approved schedule before event day and give the door team, production team, and hosts the version that applies to them. Record changes in one place during the event.
